•Schedule and arrange meetings, conference calls and office activities. •Sort and distribute mails, open mail and determine level of priority. •Receive phone calls, manage and handle all routine and non-routine questions. •Handle employees/customers’ inquiries that come directly to the Mgr office •Work independently and with Senior Management Team on special and nonrecurring and ongoing projects. Act as a project manager for special projects, at the request of the Manager planning and coordinating multiple presentations, disseminating information, and organizing companywide events. •Maintain personal and professional calendars. •Handle travel schedules, visa, flight, and accommodation arrangements as requested •Interfacing with high level executives and Public Officials •Prepare corporate correspondence, reports and meeting minutes. •Create and develop visual presentations for the Manager, constantly work on Spreadsheets, MS word and Power Points, to prepare confidential reports and presentations. •Provide clerical, secretarial, and administrative support as required to manager •Occasionally, assist manager with personal issues such as bank transfers, invoices, bookings etc…
Knowledge: •Must have knowledge of a variety of computer software applications in word processing, spreadsheets, database and presentation software (MSWord, Excel, PowerPoint) •Clerical and Filing - Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms and other office procedures and terminology. Education/Experience: •University degree, or equivalent combination of education and experience. •8+ years general Office Management. Background should include President/VP or CEO Office Management. As well as word processing; document control, preparation of spreadsheets, graphs and charts; presentation materials. Appearance/Personality: •Presentable, upbeat, energetic, takes initiative, dependable, takes pride in work
6 - 9 Years.
•Must be able to interact and communicate with individuals at all levels of the organization. •Work requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Must be able to work in a fast-paced environment with demonstrated ability to juggle multiple competing tasks and demands.
